Flexible Process Management for the Acquisition Lifecycle
ProTrac is the AAMS component that addresses process
management. Supporting over 15 different categories of
acquisition activities with detailed reporting and query
capabilities, ProTrac is the tool to provide flexible process
management for the entire acquisition lifecycle, from planning
through post award.
Adaptive
ProTrac is designed to be readily configurable using DSI's
knowledge-base-driven software to meet the specific data collection
and management needs of the acquisition process. Users are
encouraged to iteratively add and remove action event definitions as
appropriate to support their unique business processes. Data element
definitions may be
added and removed as necessary without requiring data conversion.
Prompts and context-sensitive help can may adjusted as required. All
of this is done without software development.
Flexible Process
ProTrac provides a realistic view of the acquisition world where
exceptions are the rule. Processing can be interrupted and resumed
at any point without losing changes. Users can also backtrack to
earlier steps without having to start from scratch. Process
milestones and PALT goals are completely under user control.
Procurement Instrument Identifier (PIID) numbering is also completely configurable to
meet the needs of the customer.
Rapid Deployment
ProTrac can be deployed in weeks or months instead of years to
provide rapid benefits. The generic system ships with a wide variety
of action types to provide full start-to-finish acquisition activity tracking
out of the box. Users can start creating orders and modifications to
existing contracts before data conversion is complete, and DSI can
change existing generic actions and documents to better suit
customers as they become familiar with the system.
Funds Management
ProTrac provides robust real-time tracking of committed and
obligated funds across all phases of an acquisition. Funding can be
allocated and managed at the order or line item level, allowing for
varying degrees of accountability.
Tracks the Acquisition
ProTrac creates and connects a chain of actions which represents the
entire acquisition lifecycle. This acquisition chain is accessible
from any specific action, providing a real-time view of the state of
the acquisition lifecycle at that point in time. Post award ID/IQ
contract management of delivery and task orders is fully supported.
Users can
review the solicitation that resulted in an award, find the purchase
requests that provided funding, and identify which modifications
adjusted the amount obligated. Never lose an acquisition document
again.
Award Management
ProTrac manages all of the validations required by agency policy
prior to finalizing an award, including warrant level, funds
availability, approval, FPDS-NG validation, financial system
commitment verification, and notice of award to finance and
FedBizOpps. All of this data, including FPDS-NG information, is
retained within ProTrac, ensuring that your agency will always own
its data.
Open Data Platform
ProTrac uses open technology standards such as XML to communicate
with any system. Our integration philosophy is founded on principles
of system data and process ownership - we establish clear lines of
responsibility to avoid duplication of effort. ProTrac comes out of
the box with integration to IAE systems such as the CCR database,
FPDSNG, and FedBizOpps. The product also integrates seamlessly with
DSI's document generation product, ProDoc.
